Can you print on NCR paper with a laser or inkjet printer?
If you have designed your own form in Word and are wondering whether you need a printer at all, here is the honest answer.
What happens when you put NCR paper in an office printer?
Carbonless paper works because the back of each sheet carries tiny capsules of ink that burst under pressure. That is exactly what an office printer applies, in several places:
- Rollers. Paper is pulled through by rubber rollers that press on it. On press-grade carbonless paper, that pressure can burst capsules and leave grey lines on the copy.
- Heat. A laser printer fixes toner with a heated fuser. Heat can damage the coatings on paper that was not made for it.
- Sequence. A carbonless set only works if the sheets are stacked in the right order: coated back on top, coated front at the bottom. Loose sheets fed one at a time are easy to muddle.

Is there NCR paper made for laser and inkjet printers?
Yes. Paper mills make "digital" carbonless grades for office laser printers and copiers, and some suppliers sell grades for inkjet too. These usually come in reams of pre-collated sets, with the sheets already stacked in the right order, sometimes with a light glue strip so the sets stay together. Paper merchants also sell forward-collated and reverse-collated packs, because some printers turn the paper over as it goes through. If you pick the wrong one, your set comes out upside down.
Always check the packet says it is suitable for your type of printer. Press-grade carbonless paper that says nothing about laser or inkjet use is not a safe bet in an office machine.
Tips if you do print your own NCR forms
- Buy digital carbonless paper that names your printer type on the packet.
- Print a single test set and check both copies before running a batch.
- Use the printer's manual or bypass tray if it has one, as it gives the paper a straighter path.
- Choose a plain paper setting rather than a heavy or glossy setting, unless the paper instructions say otherwise.

What you do not get from home-printed NCR
Even when it prints well, a stack of loose sets is not the same as a book. You do not get:
- Sequential numbering. Invoices in Ireland need a unique sequential number, and numbering by hand invites gaps and duplicates. Our guide to sequential numbering explains why it matters.
- Perforation. Without it, the customer copy has to be separated by hand.
- A cover, backing board and writing shield. Without a shield, pressure goes through to the sets below and marks them.
- A bound record. Loose copies get lost, and Revenue expects paper-issued invoices to be kept in paper form.
When is it cheaper to order printed NCR books?
Home printing makes sense for a one-off form, a trial layout or a very small run. Once you are writing invoices or dockets every week, the maths changes. Digital carbonless paper costs more per sheet than plain paper, printer toner or ink is on top, and you still have to number, collate and bind the sets yourself.

Does a carbonless form printed at home count as a proper invoice?
Yes, if it shows everything the law requires. A handwritten invoice on paper you printed yourself is as valid as one from a printed book, provided the details are complete and the numbering runs in sequence. - Can I put NCR paper in my laser printer?
- Only paper sold as suitable for laser or digital printing, and ideally pre-collated sets made for office machines. Standard carbonless paper made for printing presses can be marked or activated by the heat and roller pressure inside a laser printer.
- Can I print NCR paper on an inkjet?
- Some carbonless grades are sold as inkjet compatible. Check the packet before you buy. Loose sheets must go through the printer in the correct order or the copy will not work once the set is put together.
- Why do marks appear on my NCR copies after printing?
- Pressure from the printer's rollers can burst the ink capsules on the back of the top sheet and leave grey lines or smudges on the copy beneath. Heat from a laser printer's fuser can do the same.
